1. Who are we?
Triggerz Design Studio is the data controller for personal data processed via triggerz.eu. Our details:
- Name: Triggerz Design Studio
- Address: Van Sonsbeecklaan 1A, 6191 JL Beek, The Netherlands
- Chamber of Commerce (KvK): 82739897
- Phone: +31 46 207 6023
- E-mail: info@triggerz.eu
For privacy-related questions, you can always e-mail directly to info@triggerz.eu. A separate data protection officer (DPO) is not legally required for a business of our size; you'll get an answer from the owner directly.
2. What data do we collect?
We only collect what we actually need. Concretely:
a) Via the contact form
Name, e-mail address, company name (optional), your message, IP address and browser info (User Agent). We need this to respond to your question and to detect spam.
b) Via the SEO scan form
The same data as above, plus the website URL you'd like us to scan. Without a URL we can't run the scan.
c) Via the thank-you e-mail download tracking
We anonymously count how often a PDF is downloaded. This is not tied to you personally; it's just a counter.
d) Server logs
Our web server automatically logs IP address, date, time and pages visited. We use this for security and debugging. These logs are deleted after 90 days.
e) Cookies
See the cookies paragraph below and our separate cookie policy.
3. Why do we collect this data?
We rely on the legal grounds in Article 6 of the GDPR:
- Performance of a contract: we need your data to handle your enquiry, send a quote or execute an assignment.
- Legitimate interest: protection against spam, fraud and attacks on our site, and keeping business correspondence.
- Consent: for analytics cookies, we actively ask for your consent via the cookie banner. No consent = no analytics.
We never use your data for purposes you didn't leave it for. Filling out a contact form does not automatically sign you up for a newsletter.
4. How long do we keep data?
No longer than necessary:
- Leads that don't become clients: 18 months, then deleted.
- Clients: duration of the relationship plus 7 years (tax retention obligation).
- Server logs: 90 days.
- E-mail correspondence: 5 years.
- Cookie choice: 12 months, then we ask again.
5. Who do we share data with?
As few parties as possible. These are the players in our chain:
- Hosting provider (cPanel host): we use a Dutch hosting party that manages our server and automatic backups.
- SMTP service (mail.triggerz.eu): used to send form e-mails and transactional e-mails.
- Google Workspace: our mailbox info@triggerz.eu runs on Google Workspace. Incoming e-mail is stored there.
We never sell your data to third parties for marketing purposes. No list leaves the building.
6. Cookies
We only place what you'd expect and what you've given consent for:
- Functional cookies: language preference and your cookie choice itself. Without these the site won't work properly.
- Analytics cookies: only if you've actively opted in via the cookie banner.
- Marketing/tracking cookies: we don't place any, without exception.
Want more detail? Read our cookie policy. You can change your choice at any time via the "Cookie settings" button at the bottom of every page.
7. Your rights under the GDPR
Under the General Data Protection Regulation (GDPR), you have the following rights:
- Access (Art. 15 GDPR) — find out which data we hold about you.
- Rectification (Art. 16 GDPR) — have inaccurate data corrected.
- Erasure (Art. 17 GDPR) — have your data deleted ("right to be forgotten").
- Restriction (Art. 18 GDPR) — have processing temporarily stopped.
- Objection (Art. 21 GDPR) — object to our processing.
- Data portability (Art. 20 GDPR) — obtain a copy of your data in a common format.
- Withdraw consent (Art. 7 GDPR) — withdraw previously given consent at any time.
Want to exercise any of these rights? Send an e-mail to info@triggerz.eu. We respond within 30 days and may ask for ID to prevent misuse.
8. Security
We protect your data with appropriate measures:
- HTTPS encryption across the entire site
- Strong passwords and two-factor authentication where possible
- Restricted access: only staff who genuinely need it
- Daily backups of server and database
- Regular software updates and security patches
Should something still go wrong with your data (a data breach), we'll report it within 72 hours to the Dutch Data Protection Authority and inform you directly if the impact warrants it.
9. Filing a complaint
Not happy with how we handle your data? Talk to us first — usually that resolves it quickly. If we can't agree, you can file a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens) via autoriteitpersoonsgegevens.nl, or with the supervisory authority in your country of residence.
10. Changes to this policy
We may amend this privacy policy — for instance when new services are added or laws change. The most recent version is always on this page, with the date of the last change at the top. For significant changes we e-mail our clients separately.
